<p><a href="http://officeimg.vo.msecnd.net/en-us/images/MH900399495.jpg"><img class="alignleft" src="http://officeimg.vo.msecnd.net/en-us/images/MH900399495.jpg" alt="" width="325" height="325" /></a>Due to the downturn in the economy, more and more parents must get their daycare payments subsidized by the government. As a daycare owner, you must realize that there are both advantages and disadvantages of caring for children whose daycare payments are paid by the state. We asked the <a href="https://www.facebook.com/#!/daycares">OwnADaycare on Facebook</a> members, “Do you accept state paid clients and if so what are the pros and cons?” Our members who are also <a href="http://www.ownadaycare.com/providers/">daycare owners</a> responded to provide their varying opinions:</p>
<ul>
<li>Cons &#8211; getting paid once a month after the fact, the turnover of children in some cases. Pros (at least with the program I am with)  support from the subsidy office, free construction paper, paints, gloves, crayons, markers and more twice a year, assistance with problem behaviors, and the BIG one SUPPORT above all from the gal in the charge of the program. It is so nice to send a child home with an illness and if the parents complain the programs BACKS us providers up.</li>
<li>The money is always guaranteed each month. You may get paid 2 months behind, but then you have that money coming 2 months at the end too.</li>
<li>I am in Michigan and usually wait at least 6 weeks to get initial payment, and it is yours, not their, responsibility to make sure every T is crossed and I is dotted, or they will gladly NOT write you a check.</li>
<li>It is a pain because in my state you have to wait a month for your first check but I still take them. I went into this business wanting to help people (by giving good child care for a decent price), staying home with my children, and supporting my family. I can still do all three and take state kids. But if you need the money right away then it may not be a good idea. Plus side is if they quit without any notice you still receive a check for a month. Gives you time to replace them.</li>
<li>I don’t take clients with state pay.  I have been burned twice by it. If they don&#8217;t work, you don&#8217;t get paid and you won&#8217;t know until you turn it into the state. I had a mom bring her daughter every day, and I ended up getting paid for 2 days and I couldn&#8217;t do anything about it. It’s not worth all the paper work and time and then wondering if the parents are holding up their end of the deal.</li>
<li>I refuse to do the paperwork in order to have state aide families. I have had nothing bad experiences in the past either with the families themselves taking advantage and constantly trying to break the rules or by the state paying next to nothing &#8212; no thanks</li>
<li>I do take state paid children. Co-pays must be paid in advance. I did get burned once by a system abuser, but over all have had pretty good luck with the program here in Nebraska. Pro: once a month payment. Con: Paid after the fact. Only pays for time actually in the daycare. No holidays or vacation pay. My private pay families pay a flat rate in advance.</li>
<li>I don&#8217;t do it because it takes more than a month to be paid by the state. I can&#8217;t afford to do that. I wish it was a better program for the families needing the assistance, and for those of us who provide care.</li>
<li>I have a facility so too many state subsidized children is too much of a loss in income and too much paperwork for the price you get paid. However,  we do have a few and will continue accepting them, just will keep it at a minimum so it balances out. It&#8217;s like $160 less per month per child in WV. About 2 weeks to get a check, and once a month payments. We do get paid for a whole month if they are here at least 13 days. Just do your math <img src='http://www.ownadaycare.com/wp-includes/images/smilies/icon_smile.gif' alt=':-)' class='wp-smiley' /> </li>
<li>Pros in NJ: I get paid if they are sick, if it’s a holiday, and if they leave early I still get full day pay. Full spots! Cons: Payment takes a month to get started, and then comes every two weeks AFTER I care for them. I do not get reimbursed if they suddenly leave my care, or move. I am paid the state rate, and not my private rate which is higher. While Private clients pay more, if I have a spot to fill I do not mind filling with a state child, I just budget carefully.</li>
<li>It&#8217;s a pain!! They pay a month later. Parents have to pay a certain percentage so you need to keep track of that be sure to dot your &#8220;I&#8217;s&#8221; cross all your &#8220;t&#8217;s&#8221; I got ripped off 2 grand because of a parent that lost the aid. She didn&#8217;t make up the difference and the state stopped paying me and never told me they dropped her.</li>
<li>I have good families but the con for me is the cap on unexcused absences. If they no show and the family has used up their max of unexcused absences I don&#8217;t get paid. I also don&#8217;t like the blatant misuse of the subsidy dollars.</li>
<li>We have to wait until end of month to turn in and then it takes 10-14 days to get money. Once you have it going, it&#8217;s not too bad. BUT we can only charge the state what we charge our other families. Even if I can get $23.00 a day from the state, in my small town area I can only get $18-20 a day, so that&#8217;s what I have to charge the state too. And my state (IL) is in financial crisis and I have to wonder when I&#8217;ll get my check.</li>
<li>It really depends where you live. In BC, Canada, it isn&#8217;t too bad. There is some paperwork at the beginning that you and the parent have to fill out. Then it takes minimum 2-3 weeks to be processed then another 1-2 weeks to get paid. The pros are that you get paid every month. You submit the paper work on the first of the month and you get paid 1-2 weeks later. The cons for me is that if there is a problem, and you the provider phone, they can&#8217;t tell you anything other than there is a problem and that the parent has to phone, so then you are waiting on the parent to phone. If the parent doesn&#8217;t submit all the paperwork or they get cutoff, you have to rely on the parent telling you the truth. I have had both success and failure with subsidy families. But I will continue to accept subsidy. Just make sure you get a deposit from the parent. That way if they lose their subsidy you have something for payment!</li>

<p>Don Mardak: Evaluate accounts payable and convert those cash payments to trade transfers. Expand your referral network. Barter clients tell their cash paying clients about your services.</p>
<p><strong>OwnADaycare: How can daycare providers save money through a bartering system?</strong></p>
<p>Don Mardak: Utilize the services available through barter instead of cash services.Refer non-member businesses that you would use to IMS, so that you can start to take advantage of that barter relationship</p>
<p><strong>OwnADaycare:  Please explain how bartering works for daycare owners.</strong></p>
<p>Don Mardak: The daycare center would set the number of enrollments it would accept. IMS would fill that quota. Billing could be set up automatically to transfer the funds out of the enrollee’s account directly to the daycare’s account. The daycare maintains control over its business model. The only difference is how it is reimbursed for its services.</p>

<p>Don Mardak: Go to www.imsbarter.com, complete the on-line application. Once the application has been approved and cleared through the underwriting department, a barter bank account is opened. A Trade Broker is assigned to manage the account with the client and conducts a complete orientation.</p>

<p><strong>OwnADaycare:  Please explain what bartering can do for daycare businesses.</strong></p>
<p><strong>Don Mardak:</strong> Those in the daycare industry can utilize barter to boost sales production. It’s easy, it’s smart and it works like a charm. Savvy childcare centers owners are discovering that bartering is a great vehicle for using daycare openings, attracting new customers, and generating barter dollars that can be used for advertising and other business expenses.</p>
<p><strong>OwnADaycare: How does bartering work?</strong></p>
<p><strong>Don Mardak:</strong> In its simplest form, bartering involves an equal trade. One business swaps a good or service for another. Through professional barter exchanges—where members pay a commission fee for goods or services traded—more complex trades are possible.</p>
<p>Here’s how bartering works: a business lists a good or service for trade through the barter exchange. In return, the business receives a trade credit based on the dollar value of the good or service offered. It can then use those trade credits to “purchase” goods or services offered by other members. As a result, that business is hooked up with a rich, varied network of actively bartering businesses.</p>
<p><strong>OwnADaycare: What can trading do for daycare businesses?</strong></p>
<p><strong>Don Mardak</strong>: Bartering enables businesses to trade daycare services for the goods and services they need for themselves.</p>
<p>Gaining New Customers</p>
<p>Bartering can also provide you with a new vehicle for marketing your business. Barter exchanges bring new buyers and sellers together, potentially creating a new customer base. <p>Owners of daycare centers, <strong><a href="../../providers/">home daycare providers</a>,</strong> and preschools are feeling the effects of our waning economy.  As well, parents are responding to our economic crisis by reducing household expenses and sometimes daycare is one of the first expenses they cut.</p>
<p>Statics show that daycare costs average between $3,380 and $10,787 a year for just one preschooler, according to the National Association of Child Care Resource &amp; Referral Agencies.</p>
<p>OwnADaycare asked <strong><a href="../../providers/">childcare center</a></strong> owners and daycare business owners for solutions that may help parents reduce daycare costs.  Responses varied:</p>
<p>“The only way to reduce day care costs is to cut back on a child&#8217;s schedule or seek out a less expensive program.  If a relative is available to help out, parents can reduce the number of days their child attends.  With regard to seeking out a less expensive program, parents need to be very careful that the program is run well.  As a rule of thumb, programs run by owners are more competitively priced than corporate-owned centers or franchises due to lower overhead, “explains Jann Rudd, owner of Lily Pond Country Day School in Rivervale, New Jersey.<br />

“Parents too are looking at ways to cut child care costs.  They may exercise a flexible work schedule to lessen the number of hours/days needed for child care.  Also, parents look more carefully at programs now and want to get the best value for their child care dollars.  They look carefully at whether there are fees for enrichment programs that are charged in addition to tuition.  Ask if your School offers referral fees for referring new families.  Parents should look for a safe and secure environment with a high-quality faculty, an established curriculum and enrichment programs, all included in the tuition, “ says Joseph Schumacher, CEO of Goddard Systems, Inc.</p>
<p>“Part time schedules can offer access to childcare at reduced cost.  These might include Monday/Wednesday/Friday schedule, a Tuesday/ Thursday schedule, or half day schedule.  This allows parents to reduce costs, but still receive the benefits of a high quality preschool for their children,” says Julie Moye, co-owner of Kids ‘R’ Kids preschools in Cary, Morrisville and Research Triangle Park, N.C.</p>
<p>Another way for parents to reduce preschool costs is to enroll their child in a cooperative preschool, otherwise known as a “co-op” preschool. The cooperative preschool program is a non-profit organization that relies upon parent participation. While a qualified teacher, director, and staff are often employed, parents are relied upon to run the school and assist in the classroom on a rotational basis. The non-profit business of the preschool is also conducted by parents. This is a less expensive, yet high-quality, option.</p>

<p>Childcare is really important in the world today. With the way that things are going, more and more parents choose to work instead of stay home and take of their children. Working to earn money is a chance that parents take in order to ensure the survival of their children. This is the reason why they choose to have their children sent in child care facilities. They are ensured that the children are well taken care of while they work. But there is one thing that parents should know about childcare facilities. The cost of sending the children to childcare centers is not the same.  Here are some of the things which affect the pricing of childcare centers.<br />

Babies or infants are charged with a higher price than toddlers. Taking care of infants require more responsibilities from the day care. More time is needed in order to take care of the infant. The staff-to-infant ratio is less than staff-to-toddler ratio. A single staff can take care of 6 toddlers while for infants, a staff member can take of 3 at the most. Also, taking care of infants are not as simple as watching over them. They need to be changed, fed in feeding bottles and be carried to sleep. This requires more effort than having to watch over toddlers. </p>
<p>The benefits which children receive affect the pricing of the day care center. If children are fed complete meals as well as snacks will cost them more. There are also activities which involve compute, gymnastics and foreign language. Hiring people to teach the children these things can often cost more than it should. Although these are optional, these add to the cost. Day care centers often offer extended hours  of service especially if you get stuck in traffic or so. But these can add to the costs depending on the length of extension that you require. </p>
<p>If you want to save money from day care, you need to make sure that you do your research on the certain things that affect the pricing of your day care. Look for a day care that does not really costs that much but do give the services which your child needs. Expect to pay $100-$400 a week for quality  childcare.  This can go up depending on the day care services that you choose to have.  There are other fees which you need to clear out before you enroll your child so have things cleared out to save yourself from extra costs that you may have. </p>
<p>Childcare need not be that expensive for you.  Remember that children  have to have the best care they have and not the most expensive one. Look for quality day care centers so that you will be sure that your children are well taken care of.  Quality is what you should be looking for so focus on this and there are quite a number of affordable childcare centers out there perfect for your child. All you have to do is to search for them, and you will be sure that your child will be taken care of even if you are working. </p>

In managing your daycare business, the best way to go it to have an easy system where parents can easily know exactly how much they owe you, and where they can easily pay you. Also, you should have a mode reminding those parents who have yet to pay their bills. The ideal system is an all- in- one system so that there will be no need handwritten reminders and so that personal discussions with every parent who owes money will already be unnecessary.</p>
<p>In the past few years, there have been “online invoicing” websites popping up that are ideal tools in such cases of managing day care operation issues. They allow you to easily track at any given time the list of parents/ children who have not yet settled their parents and the amount they owe you. Also, they let you send through email presentable- looking invoices to your parents and the parents can just click the email link so they can pay you online. Better yet,  for an amount which is mostly the same for every month or week, an “automatic billing” system can be set up so there is no need to manage it at all. Sounds complicated? Not really. These websites already manage everything for you like sending emails, invoice formats, accounts, payments, and even letters reminding the parents to pay. At the end of the day, what you get is a faster mode of payment with a lot less effort.</p>
<p>Aside from tracking parents/ children, sending invoices through email and getting payments online, payment reminder letters can also be send to parents through email using the standard letter format. The payment reminder letter is a letter intended to discreetly remind the parents to give you their payments without being too harsh, and without you doing the hard work for yourself. Of course, before sending out the letter, you can always modify it so it will better suit your needs. This is an ideal way of getting the payments of parents who are just too busy that you need to keep hounding them so they will pay.</p>
<p>See, there can be an easier way of managing your day care business without putting too much effort in doing so. For smoother operations of business, I do recommend that you try using these “online invoicing” websites. Now you can pay more attention to the children!</p>
<p>How to deal with late payments<br />
You deal with parents with consistently late payments, quite a few of those with outstanding amounts that are two to three weeks overdue. Then you feel so stressed out about the situation and you feel like everything is already out of your control, and you can’t find a way out of it. So what do you do when you see yourself caught in these situations?</p>
<p>More often than not, child care business owners end up in these situations precisely because they do neither formulate nor enforce an efficient payment policy. For those still starting their child care businesses, you have to start doing this now if you intend to go on with your business. The parent handbook should already indicate and clearly explain all your policies including your payment policy. A simple way to do this is by asking everyone to pay a week (or if possible, a month) in advance. Set a day where they can pay, for example Thursday, and your policy should clearly state that fees for the coming week are due on Thursday.</p>
<p>You should also set the maximum number of times each parent can give late payments before you will take an action. You should be firm and consistent with your dealings since we are talking about your livelihood here. You should insist that arrears should be paid and you should present a new policy to offending parents to explain to them why you need to enforce the same in the future.  With starting this positive action and being consistent and professional, parents will respond accordingly. </p>
<p>Suggest direct debits and have envelopes preprinted with name, date and amount stamped so parents can more easily pay you. Have a safe box in the hall where parents can just deposit their payments without needing to see you.</p>
<p>How to Earn Extra Income for your Day Care<br />
If you are running a day care or a child care business (or if you are thinking of starting one),  one way of improving your service is to consider putting in extracurricular activities. An example of which is a Stretch n’ Grow sessions (or you can try other exercise franchises) where the franchisees come to the facility once a week so they can do they tailor- made activities with the children. All you need to do is post a notice, list down the names and get the payments of those who are interested in the program and allow them to use your room. A member of your staff should always be present in the room to supervise the activities. Remember that the franchisees are not part of your staff so you should not leave the children with them. In my case, I take a percentage of the total amount earned though this is something that you can negotiate yourself.</p>
<p>Another way to add variety to your list of physical activities at your child care center is to hold yoga classes for the children. Once again, you can ask a yoga teacher in the area to agree to hold classes in your child care center and you can take a percentage as payment for the room and the business.</p>
<p>Drama classes, basketball, basically it can be anything under the sun. Just don’t forget to maximize the talents of your staff first before you consider outsourcing. You can also ask local experts to come visit your day care, Montessori, playschool or child care service and give a speech. You can also try asking a local college history professor to come and speak about the history of the area, or maybe a local artist who can hold workshops. All these resources can be easily found in your local community and you just have to find them.</p>

<p>Meetings will be held amongst organizers and volunteers. Disagreements will happen. Distribution and division of action takes place. Giving out information to the public and meetings with possible sponsors and donors takes place. This is where hard work and action takes place, inviting and convincing the sponsors and the public to participate in an event for a good cause. That is why the right ideas are of utmost importance.</p>
<p>Here are some tried and tested ideas the organizers can use and develop for their fundraising activity and event.</p>
<p><strong>Selling</strong><br />
The item sale is the most common and the most highly regarded idea for a fund raising activity because it has always given the organizer positive and favourable results. The item sale is so common as it requires very minimal effort in planning and not much money to organize. In a normal fund raising activity item sale, organizers buy objects that are auctioned off or sold to bidders and buyers. But in a day care fund raising activity, organizers seek sponsors who will and can contribute items to be sold in the fund raising activity. The organizers look for and set up meetings with sponsors by talking to owners of establishments within the daycares’ vicinity and surrounding neighbourhood. They, both organizers and sponsors, can agree on a profit share scheme. The share of profit of the sponsor will be added to the amount the items were sold for and given to the sponsor, while the profit share of the organizers go to the day care centre. Obviously, this will not require the organizer to spend a single cent.</p>
<p>The baked goods sale idea. It is in this idea that the organizers approach and ask the parents of each day care child enrolee to contribute baked goods to be sold in the fund raising activity. This is more effective than approaching possible sponsors and has the capacity to earn more funds for the day cay centre. The organizers sell the baked goods for a certain price to attract customers or at an agreed mark-up for a profit. In an agreed mark-up set-up, the organizers will have to share the profit with the parents. The profits that the organizers collect will be added to the amount the baked goods items were sold for and given to the day care centre. The children’s parents can even sell the goods themselves for a great bonding activity with their children. The parents can also help in promoting the fund raising activity of the day care centre through their means like email, and by inviting their own friends and officemates, family members and relatives.</p>
<p>As far as location goes, the day care centre itself is often at the top of the list. Organizers redecorate the day care centre for the fund raising activity.  Next would be the door to door type of selling. Both ways are very good and often produce positive and great results for the children and the day care centre. Aside from not requiring too much money to plan, the children are often very excited with this type of idea knowing that they will get the chance to spend time with their parents and friends.</p>
<p>Add to these, the organizer can also take into consideration of the parents&#8217; main focus and primary attention: their children. The children can take center stage as organizers can sell items that the kids made themselves. Or they can sell these children’s pictures, as for greeting cards. Though it may not seem a good idea, parents will be more than glad to help and see their kids through this fund raising activity</p>
<p><strong>Organizing is Easy!</strong><br />
Though it was stated earlier that the difficult part lies in organizing and planning a fund raising activity, planning such fund raising activity does not involve rocket science. Day care fund raisers are wonderful fund raisers, particularly if the organizers involve the children. The centre can be turned into a mini-restaurant, and the children will be the waiters and waitresses where they can wear costumes made by themselves. Some of them can even go into a make shift kitchen and play chefs, complete with toques (chef’s hat) and prepare the food, an idea the parents will definitely enjoy. Parents will surely embrace the idea of, for once, being served and cooked for by their children.</p>
<p><strong>Must be Fun</strong><br />
Other ideas abound which the organizer can consider, apply and use for the fund raising event. The organizer must consider that these ideas must have the element of fun for the kids. Fun, fun, fun! When people give the idea of fun to a kid, their eyes suddenly glow and light up like light bulbs. It’s the best way to entice children to attend and, more importantly, participate in a fund raising activity. It becomes another venue for them to play and laugh with the other children. Surely they will appreciate it more when their parents and family are in it.</p>

<p>Many want to make a day care center and make it as a successful business. And these dreamers engage in this line of business full time and thus are self employed for it. One of the reasons for this is to be able to earn more while one is staying at home. Other reasons include the drudgery of a nine to five job for another as a boss. So until and unless one performs actions in pursuing their dream, having as day care business will remain just that, a dream. But this need not always is just a dream for here are some steps to undertake in order for one to find the finances to realize that dream.<br />

<strong>1)	Business planning.</strong> Like in every business, a day care must be borne forth of a business plan.  How one seeks to achieve business objectives is a key ingredient in making this business plan. Even though the business is operated from home, having a business plan is crucial in making this business work.  The business plan is in a nutshell the product of diligent research and well thought out planning which would assist financial institutions in making a decision whether or not one would provided a loan for the business. It must include the general objective of the center, how it will operate efficiently and effectively, especially as it is home-based, and a financial projection of revenues for one’s business.</p>
<p><strong>2)	Business structuring. </strong>This details all the financial matters involved in the business. Costing the preparation, operation and eventual continuous increase in business is essential to make known to financial institutions how much money is needed for the business to make money. Also included are the operational expenses, supplies and educational expenses needed for the day care.</p>
<p><strong>3)	Also, owner’s equity needs to be provided since lending institutions would want some participation on one’s end in the financial aspect of the business and not merely operations. </strong>Thus one’s financial interest in the business must be provided to entice lenders to commit money for one’s endeavor. Thus investing in one’s own business would provide signals to the lender that the commitment to succeed is clearly evident.</p>
<p><strong>4)	Collateralize. I</strong>n order for one to make a clear commitment to the success of the business, one needs to put up some form of collateral for the lender to be able to be confident that return of the money lent would be made. It would also provide two things, confidence in the success of the business and avenue for a lender to recoup the loan made. So by putting up as a collateral one’s home or vehicle, one is able provide an option for the lender to recover the loan costs if ever the business fails.</p>
<p>As one can see, reaching out to make the dream a reality is not an easy task to do. One has to make a business plan, structure the business, inclusion of personal equity in the loan or offering collateral are some ways to which a loan may be obtained to finance the dream.</p>
